Why and how can I use e-invoices?

You can issue, receive and archive e-invoices by using your existing e-bank. Using the existing e-banking channels for sending and receiving e-invoices offers many advantages for both the sender and the recipient. Some of the key advantages are:

  • Use of the existing software and infrastructure

As the standard and reliable connection between banks and companies, the electronic bank is also an excellent infrastructure for sending and receiving e-invoices. By leveraging the existing technologies, companies can avoid the high costs of investing into new infrastructure as well as the costs of employee training since they are already familiar with the software and use it every day. The system allows sending e-invoices regardless of which bank the issuer and the recipient have a bank account with and regardless of the e-invoice standard.

  • Easy and secure long-term storage of e-invoices

As with regular invoices, the Protection of Documents and Archives and Archival Institutions Act (ZVDAGA) prescribes that e-invoices must also be properly stored in an archive. Both the issuer and the recipient can ensure legally-valid archiving by hiring a registered provider of e-archiving services whose internal rules have been approved by the Archives of the Republic of Slovenia.

In this way, companies can quickly, easily and without any major costs and professional knowledge start e-archiving the e-invoices that they send or receive through their e-bank.

  • No more manual entries into the system

Recipients no longer have to manually type in the e-invoice data into their information systems, saving time and minimising the possibility of error. A majority of the recipients who use a modern information system – SAP, Navision, Pantheon, etc. – have already connected it to an e-bank, which makes establishing the export of data from the e-bank into the information system a simple matter.

  • One-click preparation of payment orders

The invoice is needed for payments and must contain all the data for the preparation of the payment order. For this reason, the recipient can prepare a payment order from the e-invoice with a single click, thereby eliminating the time-consuming and unreliable manual entry of data, e.g. the reference number, into the payment order. This applies both to business users and to individuals who will receive invoices for (monthly) obligations into their e-bank.

  • Easy reconciliation of issued invoices against payments

Since the recipient creates the payment order using the data provided by the issuer on the e-invoice, the data on the payment order is exactly as the invoice issuer wrote it. In the case of inflows, the invoice issuer therefore receives correct feedback (reference number) about the payment and can easily reconcile the payment against the issued invoice.
